WhatsApp repair tool proves landlords are following the law

Software firm Qualisync has launched AskLettie - a WhatsApp-based repair reporting and 24/7 tenant triage tool designed to help landlords manage repair requests more efficiently.

Many self-managing landlords and independent letting agents are reviewing how they track, acknowledge and evidence maintenance activity, according to Qualisync. Its research reveals that most self-managing landlords still rely on informal communication methods for repairs: 92% use phone calls, texts, email or personal messaging while only 7% use formal maintenance or ticketing software. Many feel traditional methods support rapport but may challenge record consistency and efficiency, says the firm.

Maintenance also represents a regular time commitment, as 34% spend at least two hours per month managing repairs, 15% spend six hours or more and 32% handle repair queries outside normal working hours.

Introduce

With the Renters’ Rights Act set to introduce mandatory registration, Ombudsman oversight and stricter repair response standards, landlords will be expected to acknowledge urgent repairs promptly, provide progress updates and maintain accurate documentation. Penalties for non-compliance may include civil fines of up to £40,000, rent repayment orders of up to 24 months and enforcement through the Ombudsman.

“The Renters’ Rights Act raises expectations around documentation and response times - but most landlords already want to do the right thing,” explains Calum Hopkins, co-founder of Qualisync. “Lettie provides 24/7 tenant triage and the evidence landlords need to show repairs are being managed properly and tenants are being protected.”

Records

AskLettie guides tenants through basic diagnostic checks and escalates unresolved reports to landlords by sending them a full communication history. The system automatically logs maintenance requests, timestamps communication and creates a structured audit trail. Records can be shared with tenants, the Ombudsman or enforcement teams.

AskLettie subscriptions are available for single-let landlords through to portfolio landlords and independent letting agents. A special offer means plans start at £5 a month for up to two properties.
